New Castle County Track & Field Championships

Baynard Stadium                                               Friday, May 13 & Saturday, May 14, 2011

SPONSOR:  N5CTA  (New Castle County Coaches’ Cross-Country & Track Association)

GENERAL:  Baynard Stadium has a 400 meter, 6-lane, all-weather facility.  There will be no locker room facilities available.  Spikes may not exceed 1/4 inch.  National Federation Rules will be in effect.  Coaches should review uniform and jewelry regulations.  

ADMISSION:  Friday is free.  Saturday:  Students  $2.00;  Adults  $5.00.  All team members in uniform will be admitted free.  Any manager or non-uniform team member must be accompanied by a coach.  All teams must provide a list of coaches’ names to the Meet Director by Wednesday, May 11.  If a coach’s name is not on the list at the gate, they will have to pay the admission fee for entry into the stadium.

TIME SCHEDULE:  Gates will open at 2:30 Friday, and 10:30 Saturday. 

MEET ENTRY:  Please fill out and return the attached entry form along with payment.  Entry fees are $45 for individual events and $45 per relay; OR $125 per team.  ($250 for both boys’ and girls’ teams.)  The MEET ENTRY FORM and your ENTRY FEE/PURCHASE ORDER must be received by the Meet Director by Friday, April 29. EVENT ENTRY:  Individual and relay event entries and seed times/distances must be made online at www.directathletics.com    ALL SEED TIMES/DISTANCES MUST BE ACTUAL PERFORMANCES ACHIEVED BY THE INDIVIDUAL/RELAY TEAM DURING THE CURRENT SEASON.  DOCUMENTATION OF DATE AND LOCATION IS REQUIRED FOR ALL PERFORMANCES.  Times should be noted as “HT” (HAND TIME) unless FAT (FULLY AUTOMATIC TIMING) was used.  All on-line entries must be completed on Direct Athletics NO LATER THAN 7:00 PM, SUNDAY, MAY 8.  Substitutions in individual events will NOT be allowed.  Performance Lists will be posted on N5CTA.com by the evening of Tuesday, May 10.  

SCORING & AWARDS:  The top six places will score in all events on a 10-8-6-4-2-1 basis.  The CK Xander Trophy will be awarded to the top team in both boys’ and girls’ competition.  The 2nd and 3rd place teams will receive plaques.  The top 3 finishers in each event will receive medals and automatically earn All-County honors.  The 4th through 6th place finishers in individual events (not relays) will also receive medals.  

PARTICIPATION LIMITS:  Teams may enter 2 athletes per individual event and one relay team per relay event.  Individuals may compete in a maximum of 4 events.  

ADVANCEMENT:  Preliminaries will be held in the 100m, 200m, 100H, and 110H events.  All other events will be Finals with places determined by time.  FinishLynx Timing System will be used for all races.  

RUNNING EVENTS:  
SEEDING:  All events will be pre-seeded.  Athletes should report to the bullpen when the event is called, check in with the Clerk of Course, and remain until directed onto the track.  LANES:  Lane 3 will be the preferred lane for all races up to and including the 400. (includes 4x200).  Lane 1 will be preferred in all other races.

FIELD EVENTS:  
STARTING HEIGHTS:  Pole Vault:  Boys: 8ft, Girls: 6ft; progression at 6” intervals.  High Jump:  Boys: 5’6”, Girls: 4’4”; progression at 2” intervals.  REPORTING:  Competitors should report to the event site when called and check in with the official in charge.  Throwing implements must be weighed and certified prior to the start of the event.  Certification of poles for pole vault and weighing-in of athletes for pole vault will be at the pole vault event location.  Each athlete in the horizontal jumps will get 3 attempts in prelims, with the top 7 advancing to the finals, where they will get 3 more attempts.  


MISCELLANEOUS:  
RAIN DATES:  Saturday, 9AM for Friday; Monday, 3PM for Saturday.  

Concessions and t-shirts will be available for purchase.	

NOVICE SPRINT MEDLEY:  This race is for novices ONLY and is NON-SCORING.  Participants in this event MAY NOT be in any other events.  Medals will be awarded to the top 3 teams.

COACHES’ JOBS:  Due to the increasing shortage of meet officials, N5CTA requires that each team’s coach officiate an event, or take an administrative job.  Please put your job preference on the entry form.  Every effort will be made to accommodate your request.  It is imperative that coaches report to their duties on-time and are knowledgeable in the events or duties they take on.  Each team is also required to provide TWO student-helpers to assist in the efficient running of the meet.  If your school has both a boys’ team and a girls’ team, you will be assigned TWO Coaches’ jobs and you must provide FOUR student-helpers.  These duties will be assigned ahead of time by the Meet Director, so please arrange for this before the day of the meet.
Teams whose coaches and student helpers are not meeting these obligations will be disqualified from further competition until the situation is resolved.

2011 New Castle County Meet Information

1.	All teams, boys and girls, have been assigned a job that must be performed by a coach.  Please arrive at your assignment on time and stay for the duration of the assignment.  If you are officiating a field event, please deliver results to the scorer’s table promptly.  All teams, boys and girls, have also been assigned duties for student helpers.  Please have your students in place for the duration of their assignments.  Rotating students in shifts is permitted.    

2.	Bullpen is in the infield near the finish line.  
3.	Check-in for Track events is at the Bullpen.  Athletes will be sent to the starting line from there.

4.	Check-in for Field events is at the event site.  

5.	Relay cards should be presented at check-in.  Include names of runners and their order.  

6.	Medals will be awarded to places 1 through 6 in individual events and to places 1 through 3 in relays.  Awards should be picked up at the conclusion of the meet by each team’s coach.

7.	All results will be posted on the wall by the restrooms.  

8.	Please fill out and return “Coach of the Year” ballots as soon as possible after the meet.

9.	Discus location is at Salesianum.  

10.	Heat Sheets are generally accurate.  Some re-seeding may take place if there are significant scratches.  

11.	Protests should be filed in writing to the referee.  Referee’s decision may be protested to the Games Committee.  Fee of $20 must accompany protest.  If protest is upheld, money will be returned.  

12.	Tents may be erected at the top of bleachers only, not in the lower sections.  

13.	The meet will not run more than ten minutes ahead of schedule.

14.	No breakable containers.  Please police your team’s area for trash and leave the stadium clean.  One trash bag has been provided for each team.

15.	No throwing implements in the stands.

16.	No music-playing devices are permitted, except portable, personal players, such as iPods.  No electronic devices whatsoever are permitted in the competition area, defined as inside the fenced area of the track, or as designated at the discus throw.  This includes iPods, cell phones, cameras, Blackberries, etc.  No noisemakers are permitted in the stadium.

17.	All rules, including those pertaining to uniforms and jewelry, will be enforced.  Please remind your athletes.  Preventive officiating will be done whenever possible, but ultimately, the responsibility lies with the coaches and athletes.
